ONLINE DEGREE AUDIT FREQUENTLY ASKED QUESTIONS
You can get an unofficial degree audit online by logging on to Web World, using your student ID (or Social Security Number) and PIN. Click on Degree Audit, under the heading Student Records. However, you may find it helpful to read these FAQs first.
Since this is pulling directly from our Student Information System, and is reading MSU courses, plus transfer courses, there may be some things for which you have questions. Below you will find a list of frequently asked questions to help assist you with reviewing your unofficial audit.
Q. The audit says it is “not official” and that I must still apply for graduation. How do I do that? A. You must complete the Application for Graduation forms and pay a $20.00 fee. These forms are available at the Office of the Registrar or online.
Q. What can I do if I don’t understand the audit? A. Contact your advisor.
Q. Why are courses still listed in Academic Requirements Remaining when I have completed most of them? A. All courses remain listed in a requirement until all courses within that requirement have been completed.
Q. I took a science class at another college, but the audit did not use it. Why? A. The class may not have transferred in as a core class. If you have a question about the evaluation, contact a transcript evaluator in Admissions.
Q. How do I know which catalog I should use? A. You can use any catalog under which you have earned 12 hours. Catalogs begin with the Fall term of the first year stated and end with the second summer term of the last year stated. For example, the 2006-2008 catalog is in effect from Fall 2006 through Summer II 2008.
Q. Do catalogs have an expiration date? A. Yes. All degrees under a catalog must be completed within 6 years of the middle year of the catalog. The 2006-2008 catalog expires on August 31, 2013 -- which is 6 years from 2007.
Q. What can I do if my original degree plan is under an expired catalog? A. Earn 12 hours under a current catalog. (i.e., 2006-2008 catalog -- earn credit from Fall 2006 through Summer 2008), and file a new degree plan.
Q. My advisor told me I could use a different course to meet a degree requirement, but the audit does not show it as completed. A. Check with your advisor to be sure your department has sent a course substitution form to the Registrar’s Office.
Q. Are transferred-in courses used in the grade point average? A. No, but if you transferred in with a grade point deficiency (less than 2.0), you would be responsible for making up those points at MSU.
Q. I repeated a course last semester but it is still using the old one in my grade point average, why? A. If a repeat is not coded for a prior semester, it is because we have not been notified that the repeat has occurred. Come by the Registrar’s Office or go online to the Request for Coding Repeated Courses form.
Q. I went to MSU in l985, but my audit shows those courses outstanding. Did I lose that credit over time? A. No, the credit earned was not lost. Credit earned before June l986, is on a hard-copy transcript in the Registrar’s Office and does not show on your computerized transcript. When your official audit is completed in the Registrar’s Office, after you have applied for graduation, these courses will be used as applicable. (Graduate courses do expire after 6 years, please check with your advisor if you have a question.)
Q. Why do some audits not “work,” for example – Music? A. Some degrees are so complex and require such manual manipulation, that they cannot be coded logically into the degree audit system. You will need to go by the catalog requirements and your degree plan. Once you have filed for graduation with the Office of the Registrar, an official audit will be mailed to you.
Q. What is “Modeling” on the online Degree Audit system? A. Modeling allows you to select a proposed major (other than what you are) to see which requirements you have fulfilled. (Note: The software does not model a minor.)
Q. I thought that developmental courses did not count toward my degree, but the online degree audit is adding them in. Do I need additional electives now? A. Developmental courses and additional kinesiology activity courses do NOT count toward hours for graduation; however, the online Degree Audit system does not know to subtract these.
